Our client is a leading European MNC, focused on the premium segments of the international automobile markets.

 

Key role:
Providing administrative support for the MD and internal organization such as coordinating and ensuring all current high-level issues are met on time, production and facilitation of presentations, report preparation, travel organization, event management organization and liaison among internal and external key contacts.
Support internal business departments (i.e. Front, Mid and Back Office). Provide internal reporting support by becoming proficient with Power BI.

Responsibilities:

  • Provide day-to-day support to MD while maintaining high level of confidentiality
  • Display leadership skills and proactively manage internal and external meeting requests, screen and handle incoming phone calls, arrange for/ensure proper functioning of telecommunication equipment for Skype, Team, Zoom calls, etc.
  • Liaison with all direct reports, senior management and external business associates
  • Share at weekly team meetings relevant organizational and administrative updates, visitor announcements, calendar management of key events and meetings
  • Generate ideas in support of MD to maximize engagement.
  • Plan, organize, and take logistical responsibilities to execute departmental workshops, team building and other related events management initiatives
  • Support Back Office in the monthly process of invoices. Verify for proper support and information before approving and creating request in SAP
  • Support tasks such as reporting, research and projects as assigned by Front, Mid and Back Office
  • Support digitalization and data-analytics initiatives by becoming a proficient user of Power BI (Microsoft business analytics tool) so that organization can leverage role to improve existing reports and generating ad-hoc reports upon request
  • Arrange all logistics and records for international travel, including for incoming visitors
  • Complete expense reports and travel claims and submit into Concur system
  • Handle procurement requests in SAP (i.e. proper vendor creation, documentation and relevant signatures)
  • Create purchase requests in SAP (Consulting, tax & legal fees, etc.)
  • Maintain and update as Administrator access rights to folders
  • Assist internal departments in on-boarding process for new hires
  • Assist with re-location of expatriates as needed

 


Requirements:

  • Min. Diploma in Business Administration or other relevant qualification
  • At least 5 years supporting experience at Executive level
  • Knowledge of Power BI tool is a plus
  • Must be comfortable and good in dealing with numbers
  • Practical experience in supporting Business lines is preferred
  • Exceptional time management skills and ability to multitask
  • Excellent verbal and written communication skills
  • Ability to confidently liaise and support all levels of management
  • Excellent hosting and networking skills, representing the company
  • Ability to maintain strict confidentiality
  • Ability to work efficiently, pro-actively and fast
  • Ability to work autonomously and make decisions under pressure on behalf of senior management
  • Proactive with excellent organizational skills and problem-solving abilities
  • Ability to perform multiple tasks at once
  • Displays a high level of self-initiative and working autonomously
