Job Description

Roles &Responsibilities Responsibilities:

Expat Support
• Provide support relating to all Korean Expatriates matters
- Arrange expat welfare and benefit (housing, credit card, mobile phone, car, child school matter, medical, travel, expenses & claims etc)
- Monitor expiry date of expat housing/car/road tax etc and highlight to relevant party for action
- Maintain all Expat file, documents and timey update of records
- Personal assistant to Managing Director for travel arrangement, expenses & claims, meeting schedule and any ad-hoc request

General Affair
• Oversee overall office administration including maintenance and upkeep ensuring timely process with accurate information, relevant supporting document and follow up
- Office Maintenance and administration: maintain and upkeep of office environment repairs, office license renewal etc
- Office Supplies: Monthly pantry/stationery replenishment, bi-monthly business card requisition etc)
- Office Security: work together with IT to fulfill company security policies and practices)
- Office Safety & Health: safe management measurement in relation to Covid-19
monitoring, regular checks and upkeep of stock and distribution of Masks /Sanitizers/Personal Protection equipment / disinfectant cleaning services, arrange and monitor temperature taking in office
Fire drill exercise, fire safety, all other work place safety maters
- Vendor management: including sourcing, evaluating, registering and invoices & payment
- Travel Management: oversee and liaise with corporate travel agent, monitor air ticket booking & issuance and visa application for business trip
- Car related matters: application, update changes, payment regarding season parking, petrol card etc)
- Compliance: fixed asset check half yearly and internal finance reporting quarterly

HR Admin
- Employee Welfare Administration: assist in all employee benefit & welfare arrangement & claims, maintain timely updated files and follow up (corporate insurance, Medical & Flexi Benefit, long service award, health screening etc)
- Attendance check: daily attendance monitoring and monthly compilation, guiding employee on attendance matter & leave application and highlight to management on any abnormality
- Office Event: organize monthly meeting, birthday event, company activities, festive gifts etc
- Assist in recruitment matters, arranging interviews and coordinating with hiring manager and related parties
- Assist in Training & Development, coordinating external & internal training programs and updating training record in the system
- Ad-hoc request when required

Requirement
• At least Diploma in any fields of studies
• At least 2-3 years experience in office administration, general affair or HR admin
• Proficient in MS Office
• Able to work beyond working hours when required
• Open to multi culture environment and willing to learn & hands-on
• Outgoing nature and meticulous
• Able to work independently in a fast-paced environment
